Configuring Popular Mail Clients

IMPORTANT NOTES:   

1. Due to issues with SPAM and multiple connection attempts originating from various mobile providers including VERIZON WIRELESS, as well as the hosting provider SOFTLAYER and its resellers, you may not be able to configure your mail client using these instructions.  Please contact us for alternate methods or to request a whitelist for a specific IP address. 

2.  Our primary mail server is hosted at an OVH SAS datacenter in Beauharnois, Quebec, Canada, which has great transit and stability to the USA.     We have have an established relationship with Yandex in Russia.  If you are looking to host in this location, or have specific requirements for archiving mail or privacy, please contact us.

 

Differences between POP3 and IMAP:

POP - an internet standard for retrieving email. POP stands for "Post Office Protocol." May also be referred to as "incoming mail."

POP is a one-way communication path. This means that when you access your email from your computer or other local device, your email client (such as Outlook or Thunderbird) will save a local copy of the email to your computer, then delete the original from the mail server. Email accessed using POP ties it to a specific computer or device, thus you will be unable to view your webmail from multiple sources. However, POP is useful for storing local copies of email to be read offline or when not connected to the internet, as well as for ensuring that your webmail mailbox will retain plenty of storage room for accepting more email in the future.

IMAP - an internet standard for retrieving email. IMAP stands for "Internet Message Access Protocol." May also be referred to as "incoming mail."

IMAP is a two-way communication path. This means that when you access your email from your computer or other local device, any changes that are made will be synchronized with your webmail on the mail server. For example, if you create a new folder in your webmail, then put a message into that folder, this change will instantly and automatically appear in your email client (such as Outlook or Thunderbird), and on your mobile device. Also, if you are at work and you begin a message then save it, it will still be there in your mailbox when you log in from a different email client, such as one on your home computer. 

IMAP provides a better method to access your mail from multiple devices, say from work, home, and your mobile, through two-way syncing capabilities between your mail clients and your domain's mailbox. However, because IMAP saves all your messages on the server, be sure frequently clean up your mailbox, deleting old messages and saving the ones you want to keep to a local computer. 

The following settings use your primary domain name for both incoming and outgoing mail. Your full e-mail address is still required for your username.  Assuming that your domain name is "example.com" the mail server would be:

  • mail.example.com 
    where "example.com" is your hosting account's primary domain.

The email server ports are:

  • POP: 110
  • IMAP: 143
  • SMTP: 587

Configure your iPhone/iPad/iPod Touch to access your POP/IMAP mailbox

To set up an email account on your iPhone, or iPod Touch (instructions are based on iOS5, other operating system versions may vary):

  1. From the home screen, tap Settings
  2. Select Mail, Contacts, Calendars
  3. Select Add Account...
  4. Select Other
  5. From Mail, select Add Mail Account
  6. Enter the mail account information:
    1. Name: the name of the mailbox user - for example: John Smith
    2. Address: your mailbox address - for example: administrator@example.com
    3. Password: the password for your mailbox - for example: mypassword
    4. Description: a short description of your mail account so that you can identify it later (in case you want to change any settings)
  7. Press Next
  8. At the top of the screen select POP or IMAP

    NOTE: See above for the differences between POP3 and IMAP to determine which incoming mail retrieval standard is a best fit for your current needs.
     
  9. Enter the Incoming Mail Server details:
    1. Host Name: mail.example.com (where example.com is your primary domain)
    2. User Name: your full mailbox address - for example: administrator@example.com
    3. Password: the password for the above mail address.  If pre-filled it may help to re-enter it anyway.
  10. Enter the Outgoing Mail Server details:
    1. Host Name: mail.example.com (where example.com is your primary domain)
    2. User Name: the mailbox address – for example: administrator@example.com
    3. Password: the password for the above mail address (this is an optional step)
  11. Press Next
  12. You may get the following message :
    “The certificate for “SMTP:administrator@example.com@smtp.example.com” may not be validated”
    Select Continue
  13. If you get a message that a secure connection cannot be established, choose to continue
  14. SSL should be set to OFF (this is a default setting)
  15. The ports will be configured automatically during the connection process, however, if you wish to configure the ports yourself, the ports are:
  • POP: 110
  • IMAP: 143
  • SMTP: 587

Configure your Blackberry to access your POP/IMAP mailbox
  1. On your BlackBerry device, navigate to your home screen
  2. Select the icon that lets you set up email (this can be called Setup, Setup Wizard, Email Setup, BlackBerry Set-up, E-mail settings, or Personal Email Set-up)
  3. Follow the setup instructions provided on your device to create a new e-mail account
  4. Be sure to enter the following:
    • Mail Server: mail.example.com (where "example.com" is your domain name)
    • Username: [your full email address]
    • Password: [your mail password]
    • IMAP Port: 143
  5. Allow the system to add your account, but do not enter your password into the utility boxes (this causes the system to default to POP3 instead of IMAP)
  6. Select Next
  7. Select Next again (bypassing the 'Additional Information Required' section)
  8. Select your account type, then select Next
    You may encounter a 'We were unable to configure...' error. Select I will provide the settings to continue
  9. Select the option that mentions 'IMAP/POP'
  10. Select I will provide the settings..., then select Next
  11. Select Set up existing email account...
  12. Enter your e-mail account information here, with 'mail.example.com' as your mail server, replacing 'example.com' with your domain name.
  13. Select Next
  14. Select Save

Configure your Android Device to access your POP/IMAP mailbox

  1. On your Android device, navigate to your Settings screen
  2. Select the icon for email.  If you already have an an account set up, tap Menu then ADD ACCOUNT
  3. Type your e-mail address, followed by password, and tap Next.  If given a setup choice, choose MANUAL 
  4. Choose the ACCOUNT TYPE as IMAP, and tap Next.
    • Mail Server: mail.example.com (where "example.com" is your domain name)
    • Username: [your full email address]
    • Password: [your mail password]
    • IMAP Port: 143
  5. Select Require Sign In and make sure your full e-mail address and password are correct.  Tap Next.
  6. Select Next again, name your account and provide the name you want to use for outgoing messages.
  7. Tap Done.

If setup is successful, you should receive a confirmation message and a new mailbox icon should appear on your device's home screen, labeled with your new email address.
